Toronto Caribbean Carnival Media Team

This policy governs media access to Toronto Carnival events, including the parade, concerts, cultural showcases, and all official festival activities. Media accreditation is granted to legitimate news organizations, journalists, photographers, videographers, and content creators for the purpose of covering the festival.

Eligible Media Include:

  • Recognized news organizations (print, broadcast, digital)
  • Freelance journalists with verified credentials and assignment letters
  • Photographers and videographers with professional portfolios
  • Content creators with established platforms (minimum 10,000 followers or verified accounts)
  • Documentary filmmakers with project proposals Cultural and community media outlets

Ineligible Applicants:

  • Personal/private photography or videography
  • Commercial photography without prior commercial licensing agreement
  • Unverified social media accounts
  • Applicants with history of policy violations
     
       

Timeline:

  • Applications open: [X weeks] before the event

Approval Criteria:

  • Verification of media credentials
  • Editorial focus and coverage plan
  • Audience reach and platform legitimacy
  • Compliance with previous accreditation terms (if applicable)
  • Available capacity in media zones

 

Access Rights:

  • Media pass holders receive access to designated media zones only
  • Access does not guarantee specific positioning or exclusive areas
  • Parade route media zones are assigned on a first-come, first-served basis Stage/performance access subject to artist and venue restrictions VIP and restricted areas require separate authorization

Prohibited Activities:

  • Commercial use of content without separate licensing agreement
  • Obstruction of public viewing areas or parade route
  • Use of drones without prior written approval and permits
  • Interference with performers, participants, or festival operations
  • Resale or transfer of media credentials
  • Harassment or inappropriate conduct toward participants or attendees

Content Usage:

  • Editorial and news coverage: Permitted
  • Social media sharing: Permitted with proper event tagging (@TorontoCarnival)
  • Commercial licensing: Requires separate agreement
  • Documentary/film projects: Requires content release agreement
  • Live streaming: Permitted for news organizations; content creators must notify festival in advance

Equipment Restrictions:

  • Professional cameras and lenses permitted in media zones
  • Tripods and monopods allowed in designated areas only
  • Lighting equipment subject to safety approval
  • Drones prohibited without special permit and insurance
  • No equipment may obstruct public access or create safety hazards

Conduct Requirements:

  • Respect performer and participant privacy
  • Obtain consent for close-up portraits when possible
  • Do not interfere with performances or parade flow
  • Follow instructions from festival staff and security
  • Wear visible media credentials at all times

Television & Radio:

  • Live broadcast positions assigned in advance
  • Technical requirements and power access coordinated with production team
  • Satellite trucks and broadcast vehicles require separate permits
  • Interview requests with performers/organizers coordinated through media relations

Digital Live Streaming:

  • News organizations: Permitted with advance notice
  • Social media influencers/content creators: Permitted for coverage purposes
  • Commercial streaming platforms: Requires licensing agreement

  • All streams must credit Toronto Carnival and use official hashtags

Issuance:

  • Media passes issued electronically and/or as physical credentials
  • Passes are non-transferable and must be worn visibly at all times
  • Lost or stolen passes must be reported immediately
  • Replacement passes subject to verification and may incur fees

Revocation:

  • Credentials may be revoked for policy violations
  • Revoked credentials must be surrendered immediately
  • Violations may result in permanent ban from future accreditation

Insurance:

  • Media organizations responsible for their own liability insurance
  • Large crews may be required to provide proof of insurance
  • Festival not liable for equipment damage, loss, or personal injury

Safety Compliance:

  • All media must comply with venue safety regulations
  • Follow instructions from security and emergency personnel
  • Respect barriers, restricted zones, and crowd control measures
  • Report safety concerns immediately to festival staff

Festival Branding:

  • Toronto Carnival name and logos are trademarked
  • Proper attribution required in all coverage
  • Commercial use of festival branding requires permission

Participant Rights:

  • Performers and participants retain rights to their likeness
  • Costumes and artistic works are intellectual property of creators Respectful and accurate representation required

Content Ownership:

  • Media retain copyright to their original content
  • Festival reserves right to share/repost credited media coverage
  • Festival may request access to content for promotional use (with credit)

  • Use access solely for legitimate editorial/news coverage purposes

Failure to comply may result in immediate revocation of credentials and denial of future accreditation.
